5 automations every small business should set up first

October 24, 2026 · by Abdul Waheed, DevStacker

“Automate your business” usually arrives as advice to buy a platform and build dozens of workflows. For a small business, that’s backwards. The value is in a handful of unglamorous automations that stop leads and tasks from falling through the cracks — the kind built with tools like n8n or your CRM’s own features, in days rather than months.

Here are the five to set up first, in order.

1. Every form becomes a CRM record — automatically

The single most common leak: a website inquiry lands in an email inbox, gets read on a phone, and is never entered anywhere. If it isn’t in the CRM, it doesn’t get followed up, quoted, or reported on.

The automation is simple: website form → create lead/contact in the CRM → attach the full message. Whether your CRM is Perfex or something else, the rule is absolute — no inquiry should depend on a human remembering to copy it.

2. Instant notification to a human

A CRM record nobody sees until tomorrow is a lead going cold. Add a notification step to the same workflow: the moment a lead is created, the right person gets an email, a CRM notification, or a chat message with the lead’s details and a link to the record.

Speed matters more than polish here. Studies of lead response consistently show conversion falling off within the first hour; an instant alert is what makes a fast first reply possible at all.

3. Follow-up reminders that don’t rely on memory

Most lost sales aren’t lost to competitors — they’re lost to silence. The quote was sent, the customer got busy, and nobody followed up.

Automate the nudge: when a lead or proposal sits in the same stage for a set number of days, create a task for the owner (“Follow up with X — quote sent 4 days ago”). Your CRM can then surface these in the daily task list. The follow-up itself stays human; only the remembering is automated.

4. Review requests after the job is done

Happy customers rarely leave reviews unprompted, and reviews are the cheapest marketing a local business has. When a project or invoice is marked complete, wait a respectful interval (a few days), then send a short, polite message with a direct link to your Google review page.

One request, sent once, automatically. It’s astonishing how many businesses skip this while paying for ads.

5. A weekly numbers email to yourself

You can’t fix what you don’t see. Set up a simple weekly summary — new leads, quotes sent, quotes won, overdue follow-ups — delivered to your inbox every Monday morning. This can be a CRM report or a small workflow that gathers the numbers for you.

The point isn’t the dashboard; it’s the rhythm. Ten minutes with real numbers each week beats a quarterly panic.

What to deliberately skip (for now)

  • AI everything. Chatbots and AI summaries earn their place after the plumbing above works — for example, an AI chat assistant that captures visitor details and creates the lead (automation #1, handled by the chat itself).
  • Complex multi-branch workflows. Every branch is a thing that can silently break. Start linear; add complexity only when a real case demands it.
  • Automating a broken process. If your follow-up process is “whoever notices,” define the process first (stages, owners, timing), then automate exactly that.

The pattern underneath all five

Notice what these share: none of them replace a person. They replace carrying information between systems and remembering — the two jobs humans are worst at and software is perfect for. Set up these five and most small businesses feel the difference within a month: fewer lost inquiries, faster replies, follow-ups that actually happen.

If you’d like a second pair of eyes on where your own setup is leaking, the free digital systems audit reviews your website, CRM, automation, and infrastructure together — because the gaps are usually between the tools, not inside them.

Stop managing your technology in pieces.

Let's build a digital stack that works together — and keep it that way. Start with a free audit: no pressure, no automated score, a real review by the developer who would do the work.
